Records it tracks
Structured records with their own fields, status and history. Standards are free text, so ISO 9606, ASME Section IX, AWS D1.1 and API 1104 qualifications can all be recorded.
- Welders
- Full name, identification or stamp number, date of birth, start date and active or inactive status. Inactive welders drop out of the dashboard, alerts and reminder emails.
- Welder qualifications
- Standard, welding process, material group, product type, joint type, position, thickness range, diameter range, backing, date qualified, examining body, certificate number and notes — linked to the welder.
- Continuity confirmations
- Confirmed on, confirmed by, method, evidence link and next confirmation due. Saving a confirmation moves the qualification's next continuity date forward; with no date entered it adds six calendar months.
- Continuity safeguards
- A qualification can never be saved without a continuity date, confirmations cannot be entered out of date order, and a retried save does not record the same confirmation twice.
- Revalidation
- Revalidation basis of three-year, two-year (NDT) or unlimited (ISO 3834), with a revalidation due date watched separately from continuity.
- Welding procedure specifications (WPS)
- Reference, standard, process, material group, thickness and diameter ranges, position, joint type, draft / approved / archived status, document link and the supporting WPQR.
- Procedure qualification records (WPQR / PQR)
- Reference, standard, test date, examining body, certificate number, qualified ranges, source document and notes. Each WPS shows the WPQR that supports it.
Dates it watches and how it alerts
- Red, amber, green status
- Continuity turns amber 30 days before it is due and revalidation 90 days before. Anything past its date is red. Each welder shows the status of their most urgent qualification.
- Dashboard
- Coverage bar of current, due-soon and overdue qualifications; tiles for active welders, live qualifications, items due in 30 days and overdue items; a needs-attention table filtered by status and welding process.
- Alerts page
- Overdue and due-soon continuity and revalidation items in one list, with an overdue count in the sidebar.
- Email reminders
- A daily run sends reminders 90, 60 and 7 days before a date, plus an overdue notice. The reminder days (1 to 365) and the recipient are set in Settings.
- Missed-day catch-up
- If a daily run is missed, the next run still sends the most urgent reminder owed. The same reminder is never sent twice for the same date.
Documents it stores
A searchable evidence library. PDF and Word files up to 10 MB each.
- Ten document types
- Welder qualification, continuity evidence, WPS, WPQR, NDT report, material certificate, calibration certificate, inspection report, audit evidence and other.
- Linked to records
- Each file can be linked to a welder, a qualification, a WPS, a WPQR or the company.
- Suggested filing
- Text is extracted from the file and a document type and matching record are suggested for you to confirm. Scanned files without selectable text are flagged.
- Saved copies of generated forms
- A form created in the document generator can be saved into the library as a reviewed Word copy.

Forms are generated from the information you supply and downloaded as editable Word, PDF or Markdown. A generated form is a document: it does not create a tracked record, a due date or an alert. US code formats use US units and terminology.

Getting data in and asking questions
- PDF import
- Upload a completed qualification certificate and the welder and qualification fields are extracted with a confidence score. You review every field before anything is saved; blank templates are detected and flagged.
- Starter import
- Paste existing data, for example from a spreadsheet, and review the draft welders and qualifications, with likely duplicates flagged, before saving.
- Ask Soteriaa
- Ask which qualifications are overdue, who needs continuity confirmation, what a named welder holds, which WPS uses a WPQR, or which documents mention a term. Answers come only from your workspace's records.
- API and MCP for documents
- Generate, save and export forms from your own tools or an AI agent using a scoped connection token.

- A printable single-page A4 certificate for any qualification, with your logo, brand colour, address and footer note.

Scope and boundaries
Soteriaa records the information you supply and watches the dates you enter. It does not qualify welders, approve procedures, certify records or establish compliance with any code or standard.
Imported and suggested values are proposals for you to review; nothing is saved without your confirmation.
Job-level documents such as weld logs, pressure test records and certificates of conformance are generated forms, not tracked records.
