Calibration record: field-by-field reference

A calibration record should identify the equipment, what was checked, the result against the stated criteria, and the evidence supporting that result. The exact method, interval and acceptance criteria depend on the equipment, intended use, governing procedure and customer or code requirements.

How to use this reference

This is a record-keeping reference to the fields that commonly appear on these documents, checked 26 September 2026 against the current published editions named on the page. It paraphrases field headings; it does not reproduce the standard, and it is not a substitute for it. Qualification ranges, validity rules and acceptance criteria are set by the standard, your code of construction and your certification arrangements, so read those before relying on any field here. Soteriaa organises records and produces document drafts; it does not certify welders or NDT personnel, qualify procedures, or decide whether a range, result or date is acceptable. Soteriaa provides document and workflow tools, not legal assistance or compliance advice. It helps organise records, evidence and deadlines; it does not determine compliance, certify records or submit official reports on your behalf. You review the information and remain responsible for required checks and submissions.

FieldWhat it recordsWhere it commonly goes wrongIn a Soteriaa record
Equipment identity
Equipment type, asset ID, manufacturer, model, serial number and location.
Only the equipment type is recorded, so a certificate cannot be matched to the individual unit.
Equipment ID, type, manufacturer/model, serial number and location.
Scope and method
Parameters checked, method, applicable procedure or standard, and the intended range of use.
A certificate is filed without noting which settings or ranges were verified.
Standard or procedure and a repeatable parameter table.
Reference and traceability
Reference instrument or standard used, its identity and relevant traceability evidence.
The result is recorded but the reference used to obtain it cannot be identified.
The form can record the reference instrument and traceability information supplied by the user.
Criteria and readings
Required tolerance or acceptance criterion, observed readings, units and result for each parameter.
A single pass/fail hides which parameters were measured and what limits were applied.
Rows for parameter, tolerance, reading and result.
Disposition
Overall outcome, adjustment or repair, out-of-tolerance assessment and follow-up action.
An out-of-tolerance result is overwritten after adjustment, obscuring the original finding.
The generated draft has fields for overall result and out-of-tolerance actions; preserve source certificates and records.
Certificate and next review
Calibration date, provider or competent person, certificate reference, status and next due date.
The due date is tracked without retaining the certificate or provider reference.
Calibration date, calibrated by, certificate reference and due date.

Calibration is not the whole control

A certificate does not by itself establish that equipment is suitable for a particular welding process or that recorded readings meet a project requirement. Define your own equipment control, decision rules, intervals and actions. ISO 10012:2026 is the current edition of the measurement-management standard; consult the standard and your applicable requirements directly. ISO 10012:2026.

The other field references

The four documents refer to each other: a WPQR supports a WPS, a welder is tested to a WPS, and inspection relies on certified NDT personnel.
