Full HR systems, document tools and expiry trackers
Full HR systems (HRIS)
Employee records plus leave, absence, payroll or performance, with document storage inside. Best when you want one system for people management, and priced per employee or per company band.
Document management and workflow tools
Create, send, sign and store documents. Strong on templates and e-signature, but they do not hold an employee record or remind you about dates.
Narrow expiry trackers
Hold documents with expiry or renewal dates and send reminders. Cheap and quick to start, but they are not employee files.

Which kind fits a small employer?
Start from the number of people you manage and what you need reminding about.
- Need leave, absence or payroll as well as files: compare full HR systems, and check whether pricing is per employee or per company band.
- Mostly sending contracts and offer letters for signature: a document workflow tool may be enough.
- Only need reminders before certificates or licences expire: an expiry tracker is the cheapest start.
- A handful of employees and mainly need the documents themselves: generate them free and keep your own register.
