UK sponsor compliance: full feature list

Records it tracks

Sponsored workers
Full name, date of birth, nationality, National Insurance number, email, phone, home address, job title, SOC code, work location, start date, annual salary, allowances, CoS reference, visa route, visa start and expiry, date of entry to the UK, sponsorship end date and notes.
Right-to-work checks
Check type (Home Office online check, manual document check, Employer Checking Service or other), share code type, whether the right to work is time-limited or continuous, and the follow-up date when a repeat check is needed.
Changes and reportable events
Work location, job title, salary, work pattern, absence concern, contact details, immigration status and other events, each with a status of needs review, reviewed, action required, not reportable or closed.
Automatic record history
Document uploads, field edits, not-applicable choices and document reviews are logged automatically, with a history of changes to a worker's email, phone and address.
Absences
Unpaid absence, paid leave, sick leave, family emergency, unauthorised absence and other, with dates, a review status and linked evidence.
Attendance and hours
Period records of expected against actual hours with draft, reviewed, concern and archived statuses. A difference of four hours or more is flagged for review.
Record retention clock
Sponsorship end date plus the retention period you set (1 to 120 months) gives a retain-until date for each former worker. It is arithmetic on your inputs, not a statement of the statutory period.

Evidence it stores

PDF, PNG, JPG and WebP files up to 20 MB each, filed against a worker.

Twenty evidence categories
Right-to-work evidence, share code result, passport or identity, visa / BRP / eVisa, CoS assignment, employment contract, job description, salary, current address, work location, emergency contact, absence, attendance and hours, recruitment, professional registration, change evidence, DBS check, ATAS certificate, under-18 consent and other.
Suggested filing
When a document is uploaded, its type, whether the name on it matches the worker, and its key fields are proposed for you to confirm. The system checks a document's type and name, never its validity.
Review and expiry
Each document can be marked reviewed, and any category can carry an expiry date that becomes a renewal deadline.
Per-worker checklist
A checklist of expected records per worker, with not-applicable choices where allowed, shown as a progress signal separate from alerts.

Dates it watches and how it alerts

Worker status
Urgent when a visa expiry or right-to-work follow-up is within 30 days or overdue, upcoming within 90 days, otherwise on track. An open change event or absence raises an on-track worker to review needed. A continuous right to work creates no follow-up.
Deadlines view
Visa expiries, right-to-work follow-ups and evidence expiries across all workers in date order.
Email digest
Visa expiry, right-to-work follow-up, document expiry and missing-evidence items grouped into urgent and upcoming, sent to the recipients you choose in Settings.

Choose the sections
Worker summary, document checklist, right-to-work record, CoS details, visa dates, uploaded documents index, change history, absence records, record history and an outstanding-items note.
Readiness before export
Each section shows ready or what is missing — worker data or an evidence file — before you export.
ZIP export with manifest
Packs download as a ZIP with an index page and a manifest of what was included, and each export is logged against the worker.

Forms it generates (5)

Forms are generated from the information you supply and downloaded as editable Word, PDF or Markdown. They record what you tell them; they do not carry out a check or make a reporting decision.

CoS fee, Immigration Skills Charge, visa application fee and Immigration Health Surcharge from one GOV.UK fee schedule shared with the public calculator, plus your own assumptions for payroll, solicitor, admin and agency costs.
Saved assumptions
Your fee assumptions are saved to the workspace. Every figure is an estimate, not tax, legal or financial advice.

Team, permissions and questions

Seven roles
Owner / Director, HR Manager, Operations Manager, Office Manager, Immigration Admin, External Adviser and Read-only Auditor. Advisers and auditors can view and export but not change records; deleting, archiving and settings are limited to admins.
Invite teammates
Invite colleagues or an external adviser by email with a chosen role, and cancel pending invites.
Change log
A workspace-wide log of every recorded change: when it was recorded, the worker, the type, the detail and its status.
Ask Soteriaa
A read-only lookup assistant that answers from your own worker, deadline and evidence records. It cannot change data.
Plans by worker count
Plans are sized by the number of sponsored workers and the limit is enforced when a worker is added.

Scope and boundaries

Soteriaa records the information you supply and watches the dates you enter. It does not provide legal assistance, carry out right-to-work checks, decide what is reportable or establish compliance with sponsor duties.

Suggested document types, name matches and extracted fields are proposals for you to review; you remain responsible for your records and official submissions.
