Importing your existing documents: what extraction proposes, what you confirm
Soteriaa's current extraction flow is for completed welding qualification certificate PDFs. It proposes a draft qualification record for you to review; it does not automatically approve a certificate or migrate every document in your folder.

The current supported path processes welding qualification certificate PDFs. Other record types follow the workspace's separate entry and evidence workflows.

1. Choose the qualification PDF
Use a completed, legible PDF certificate. The extraction form does not accept other document types for this workflow.

2. Wait for the proposed fields
Soteriaa extracts draft qualification details from the uploaded certificate and displays them for review. A blank-looking template or an unreadable source may produce an incomplete proposal.

3. Check every value against the certificate
Confirm the welder identity, certificate number, standard, dates, process and qualification ranges against the original. Correct errors and supply missing details; do not treat a plausible value as verified.

4. Save only after reviewing required fields
The flow blocks a save attempt when minimum fields are missing. That check does not decide whether the certificate is genuine, current, acceptable or applicable to a job.

5. Keep the source and continue the record
The uploaded file is retained as document evidence and linked to the qualification record. Follow your own document-control and retention procedure, and review the record before relying on it.
Extraction is not a technical review
Soteriaa proposes values from a completed qualification PDF and applies required-field checks. A competent person must compare those values with the source and decide whether the certificate and its ranges can be relied on for the intended work. See the qualification field reference.

PDF extraction questions
Which documents can I extract?
The live extraction flow accepts PDF files for welding qualification records. WPS/WPQR records, continuity evidence, inspection files, project documents and sponsor files are not extracted by that flow; add or manage those through their relevant workspace records and evidence workflows.
Does extraction verify the certificate?
No. It proposes fields from the PDF. It does not authenticate the issuer or signature, establish validity, decide whether the qualification range applies, or determine that evidence is sufficient.
What if the document is incomplete or hard to read?
Extraction may return incomplete values or flag a blank-looking template. Review every proposed field against the original and complete missing information yourself before saving.
